Privacy Policy
This policy explains what information Podium collects, why, who it is shared with, and the choices you have. Podium is a mobile app that records talks, lectures and meetings and turns them into written summaries.
1. Who we are
Podium is operated by Elizabeth Osunsanwo, trading as Kagex, based in the United Kingdom ("we", "us"). We are the data controller for the personal information described here.
Contact: hello@kagex.co.uk
2. What we collect
| Information | Where it comes from | Why we need it |
|---|---|---|
| Your email address, name and profile picture | Your Google (or Apple) account when you sign in | To create and secure your account and let you sign in |
| Audio recordings | Recorded in the app, or uploaded or shared to it by you | To produce your transcript. Audio is deleted from our servers as soon as it has been transcribed. |
| Transcripts, AI summaries, note titles and "My notes" | Created from your recordings and by you | To show you your notes and let you edit, copy and export them |
| Usage and subscription details: minutes used and remaining, whether you're subscribed, and when your current period ends | Generated as you use the app, and confirmed by the payment provider when you subscribe | To apply your free trial or subscription allowance |
We do not see or store your card or payment details. Subscriptions are paid through Google Play (or Stripe, for our web version), which takes the payment and keeps its own payment records under its own privacy policy. We do not use advertising, ad tracking or analytics trackers in the app, and this website does not use cookies.
Recordings may contain other people's voices. Please read the Terms about getting permission before recording others.
3. Our legal basis
- Contract: we process your account, recordings and notes to provide the service you asked for.
- Legitimate interests: we keep limited records to prevent abuse of free trials, keep the service secure and fix problems.
4. Who we share it with
We use trusted service providers ("processors") who handle data only to run Podium for us:
- Supabase: hosts our database, sign-in system and temporary audio storage, in London (UK).
- Deepgram (USA): converts your audio into text. We tell Deepgram not to use your recordings to train its models.
- Google (Gemini API): turns your transcript into a summary.
- Google and Apple: to sign you in, if you choose to use them.
- Google Play and/or Stripe: to take subscription payments. They tell us only whether your subscription is active.
We never sell your information or share it for advertising.
5. International transfers
Some providers (such as Deepgram and Google) process data outside the UK, including in the USA. Where this happens, the transfer is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK–US data bridge, as offered by those providers.
6. How long we keep it
- Audio: deleted from our servers as soon as it is transcribed. Temporary copies on your phone are deleted once uploaded.
- Notes, transcripts and summaries: kept until you delete the note or your account.
- Account and subscription details: kept until you delete your account.
- Payment records: held by Google Play or Stripe, not by us, under their own policies.
7. Your rights
Under UK data protection law you can ask us to:
- give you a copy of your information (access and portability);
- correct it;
- delete it (you can also do this yourself, see below);
- restrict or object to how we use it.
For any of these, including deleting your data, just email hello@kagex.co.uk. We will reply within one month.
8. Deleting your account
In the app, go to Account → Delete account. This permanently deletes your account, notes, transcripts and any stored audio. You can also request deletion here. Deleting your account does not cancel a Google Play subscription. Please cancel it in the Play Store too.
9. Security
Data is encrypted in transit. Each account can only access its own notes, which our database enforces. Sign-in uses Google or Apple, so we never handle your password.
10. Children
Podium is not intended for children under 13, and we do not knowingly collect information from them. If you believe a child has created an account, contact us and we will delete it.
11. Changes
If we make significant changes, we will update this page and the date above, and tell you in the app where appropriate.
12. Complaints
If you're unhappy with how we've handled your information, please email us first. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
